An inspection report arrives

Everything so far was one thing at a time. This is a week of document control compressed into one story, and the workspace changes under you as you go: finish a step, and the next one is about what just came in.

Under each step is its panel: what is checked, what to look at yourself, and Continue. The current step is marked; the ones above are done, the ones below wait. Press Continue only when the panel says every check passes — it is what moves the story on, and the workspace with it.

1. An inspection report lands on your desk

Van Dalen Elektro has inspected the fire detection in the accommodation and sent the report. It is not in the workspace yet; you are the one who puts it there.

Read the title block: number, revision, date, status, cost code. Then:

  1. Documents → right-click in the register → Create Document. Fill Number (R2417-540-004) and Name from the PDF. Set Is of type to Inspection report and Has costcode to 540 — both by right-click → Select on the cell.
  2. Open the document. On Actual revisions, right-click in the empty grid → Create new Revision and select. The new revision starts as a Concept named “Revision”, so it appears on the Other revisions tab — go there and fill it in: Name R2417-540-004 rev. A, Date 08-09-2026, Status (builder) For Information, and click its File cell to upload the PDF. Then set Status to Actual: the row moves to Actual revisions, and the register’s Has current revision columns fill in.
  3. The report inspected the galley and the SB cabins. Configuration → Spaces, open AC-01 Galley, Documents tab. In Is visible in document, right-click the cell under Has revision (select here)Select Has revision, search R2417-540-004, tick rev. A, Save. The report appears in that grid and, because it is an inspection report, in Is visible in inspection report below it. Then the same on AC-04 Cabins SB.

    2. Two findings need answering

    Findings 1 and 2 in the report are about the galley’s heat detector and a detector in the SB cabins. Record each on the space it is about — Has comments on the space’s Details tab: right-click → Create new Comment and select, double-click Content, write what was found and what is to be done, Save. Both start Open, and your Dashboard now lists both.

      3. Send it to class

      Communication → Transmittals → right-click → Create Transmittal. Number TR-010, an ID (T-2417-010), a name, and a Reason: an inspection report goes For review and signing off. Open it: Has recipients → Select Noordzee Register, then Rederij Vlietstra; Includes documents → Select rev. A of R2417-540-004. Set yourself as Owned by if you like — that is who chases it.

      Press Continue. Class receives it — and answers.

        4. Read what came back

        Something changed while you pressed Continue. Where would a document controller notice?

        • Not on your Dashboard — the surveyor’s comment is not yours.
        • Communication → Transmittals: TR-010’s Status is no longer To do.
        • TR-010’s page: a comment under Has comments, and an e-mail under Has correspondence. Open the e-mail from its card.
        • Communication → Comments, Open tab: a new comment by Anders Solberg on rev. A.

        Then act on it. The electricians have replaced the galley detector and moved the cabin one: settle your two comments on the spaces as Approved with comments. Class wants the replacement witnessed: answer the surveyor’s comment with one of your own on rev. A — Editing comments tab — saying when the witnessing is booked; use the word witness. Leave the surveyor’s own comment Open: class closes it, not you.

          5. Something else has changed

          Class was not the only thing that moved. Sort the register on Status (builder) — or filter it to On hold — and a drawing that was Approved for Construction yesterday is On hold today, and nobody told you. Find it. Right-click its revision → Browse history: two rows, the creation and the change, and the User type column says a service did the last one, not a person. Open the document, Actual revisions tab, and put rev. B’s Status (builder) back to Approved for Construction — the register’s own column only shows it.

          Browse the history again: your corrections are there under your name, in order, after the change that put it on hold.

            6. Revision B closes the findings

            Van Dalen re-inspected. Rev. B of the report:

            On the document’s Actual revisions tab: right-click rev. A’s Status → Edit Revision StatusSuperseded first — a document may have only one actual revision, and the row moves to Other revisions. Then right-click the empty grid → Create new Revision and select, find the new Concept on Other revisions and click its name to open it. On its page: Revision R2417-540-004 rev. B, Revision date 12-09-2026, Status (builder) Approved for Construction, the rev. B PDF in File, and a Reason for change that names what moved: the detectors. Status Actual last. The register’s Has current revision follows without you touching the document row.

              7. Close the loop

              Rev. B goes to class on TR-011, Noordzee Register as recipient, rev. B under Includes documents. Separately, the owner writes that their technical inspector Marieke Hoek has left the company: Management → Persons, set her Active to Not in use. Not deleted — the navigation equipment list still names her, and it is still true that she was responsible for its reviews.

              Press Continue: class approves TR-011 and returns a signed copy.

                8. Look back

                One thing left. The galley’s Documents tab still lists only rev. A of the report — a space is linked to a revision, not to a document, and rev. B is a new revision that knows nothing about the galley yet. Link rev. B to AC-01 as you did in step 1. Both rows stay: rev. A, Superseded, and rev. B, Actual. The space keeps its history, and the current one is the one with the status.

                Then three things to see. The galley’s Is visible in inspection report with rev. B and its closed findings; the Transmittals overview with TR-010 and TR-011 finished, one with a signed copy; and Browse history on R2417-540-004 — created, revised, superseded, all by you, all today. The story of the report is in the workspace, told by the workspace.
